Contract Services and Executive Director Description

 

This is a part-time position ( approximately 40 hours per month) to assist the Kennebec Valley Tourism Council (KVTC) Board of Directors in planning and implementing programs to promote tourism in the Kennebec & Moose River Valleys.

 Duties:

1. Assist in the preparing an annual marketing plan for the KVTC and use that plan as the basis of preparing an annual grant application to the Maine Office of Tourism (MOT).

2. Oversee implementation of the KVTC marketing program that will be performed by a contracted vendor(s).

     a. The preparation and distribution of printed marketing and promotional materials (guidebooks, maps, brochures);

     b. The selection and design of radio and TV ads;

     c. Internet advertising;

     d. KVTC Web site;

     e. Miscellaneous marketing activities and participation in tradeshows and exhibitions.

3. Serve as Grant Administrator for the annual MOT partnership grants. This involves:

     a. Tracking expenses and income for the different activities under the grant including administrative expenses and the required KVTC match;

     b. Assuring that the activities are designed and implemented as provided for in the contract or that changes are negotiated with MOT as necessary;

     c. Assuring that all of the State of Maine procurement and other regulations noted in the MOT contract are followed;

     d. Preparing semi-annual progress reports and a final annual report on accomplishments/shortfalls for the MOT and the Steering Committee;

     e. Writing and submitting the Grant Request.

4. Schedule and attend monthly KVTC meetings and prepare agenda, minutes and financials.

5. Maintain communications with KVTC members through newsletters, membership drives, mailing dues invoices and personal contacts as much as possible.

6. Manage KVTC finances; overseeing the preparation of financial reports for the Steering Committee meetings and the preparation of IRS and State corporate income tax forms using an outside accounting firm.

7. Coordinate KVTC activities with other tourism organizations in the Kennebec-Moose River Valleys, including, but not limited to, the local Chambers of Commerce, Old Canada Road Scenic By-way and tourism related trade associations.

8. Attend meetings at the Maine Office of Tourism as required.

9. Develop and implement a communications strategy to keep members and other stakeholders informed about KVTC activities.
